IMPORTANT STALL HOLDER INFORMATION

 

VENUE INFO

The Royal Exhibition Building is a heritage listed building. Please ensure you respect the rules so we can continue to enjoy this beautiful Melbourne icon for years to come. Please read below, and follow links to familiarise yourself with details.

EMERGENCY & EVACUATION PROCEDURES

In the case of an emergency the REB’s structured Emergency Control Organisation (ECO)

will initiate and coordinate appropriate responses, including emergency evacuations.

The ECO and associated procedures have been implemented according to the relevant

Australian Standard for the safety of the site’s occupants in an emergency situation. The

ECO always places safety of life above protection of property and assets. Please follow link

SMOKING

Smoking & vaping is strictly prohibited in the REB, the loading dock and within 10m of any entry/exit door. The Italian Festa is a smoke free zone. We ask that you respect this for the comfort of patrons.

Museum Spaces reserves the right to:

  • Refuse entry to any person smoking & vaping; and

  • Request security to remove any person found smoking & vaping.
    From 1 August 2017, the Tobacco Amendment Act 2016 will amend the Tobacco Act 1987. Please ensure you review the Victorian Health website if you require more details.

HELIUM BALLOONS

Helium balloons are not permitted within the REB. The stall vendor will be responsible for the cost of removing any helium balloons found in the building at the conclusion of the event.

LPG & NAKED FLAMES

The use of Liquid Petroleum Gas (LPG) inside REB is approved for forklift usage only. No LPG can be used for cooking inside REB. LPG must be stored outside of the REB in a secured and locked cage. Note that there is a no naked flame policy inside REB.

The use of LPG for outside stalls must be approved by the Italian Festa team and REB. Please notify us if you intend to use LPG. You will need to adhere to the LPG code and event guidelines - details here

FOOD AND BEVERAGE SAMPLING

Museums Victoria retains exclusive rights for the sale of food and beverage at all events where the Food and Beverage rights are not purchased by the Licensee.

The sale, sample or giveaway of food for consumption is strictly prohibited without prior approval by Museum Spaces. A strict 30ml for beverages and 30g for food sampling will apply to all approvals.

Please ensure you have completed and returned the relevant form below to REB

                       Application to Sell or Sample Alcohol.
                       Application to Sell, Sample or Giveaway Food or Non-Alcoholic Beverages.

The giving away of confectionary by exhibitors/organisers will only be approved by Museum Spaces if the confectionary is pre-wrapped by the original manufacturer.

Alcohol sampling will require appropriate liquor licencing and signage. Please refer to the VCGLR website for requirements.

It is the stall holder's responsibility to ensure you lodge a Statement of Trade via the FoodTrader website

​REB ONLINE INDUCTION

Prior to the commencement of bump in, all representatives, contractors, exhibitors and volunteers must complete a module of the REB Online Induction as part of the induction process to the REB. This induction forms a part of the handover of control of the site from the REB to the Licensee for the duration of the HLP and includes a review of the REB’s Health and Safety and emergency policies/ procedures and heritage-related regulations. The three modules include:

- Event Contractor
- Licensee and Representatives

Royal Exhibition Building Exhibitor Induction

- All exhibitors and their representatives.

Warden Training – Royal Exhibition Building

- Event security
- Licensee and Representatives.

A completed induction is valid for 18 months.

MAINTAINING THE REB FABRICS, WALLS, WINDOWS & PILLARS

All contractors and stall holders must ensure the REB’s timber floors are protected from potential damage at all times.

Display items or equipment with rough or sharp surfaces must not rest on the floor. Furniture must have protective rubber covers on the legs of all chairs, tables etc.

To assist in protecting the timber floors it is essential that a plastic membrane is laid prior to the installation of displays that incorporate:

  • Water features, including but not limited to fountains, ponds, pools and spas.

  • Displays incorporating plants that require watering.

  • Catering/event operations incorporating wet areas, including but not limited to dishwashing and ice containers.

  • Paint, including but not limited to airbrushing, spray painting or brush/roller painting.

  • Timber, wood chips, mulch, bark, soil, sawdust and other materials that may carry contaminants or insects

    such as termites.

  • Damage to the floors, columns and walls, including but not limited to, scratches, gouges, holes, marks, paint marks, adhesive residue, insects or contaminants, water damage and removal of the floor varnish will be recorded and charged to the respective stall holder.

ADHESIVES & TAPES

​Adhesives, glues, unapproved tapes, nails, screws, staples and other fixing materials are strictly prohibited and must not be used on any part of the REB, including the fixtures and fittings or any of the REB's equipment.

 

Tenacious tape is permitted for use on the floor only. This tape must be removed from the surface area of the floor prior to leaving your stand. Any tape, tape residue, paint or stains left on the floors will be removed at the stall holder's expense.

Damage caused by the use of adhesives or other fixing materials is the responsibility of the stall holder and will be charged accordingly.

Details of adhesive Tenacious Tape that are approved by Museum Spaces for floor use only are as follows:

- K160 Cloth Tape (nine colours - all purpose)

- K330 Double Sided Cloth Tape (holding down carpet)

- K185 Hazard Tape

- AT66 Plasticised PVC Protection Tape

Note: K969 Super Black Matte Gaffa os no longer an approved for use tape inside the venue due to it leaving behind residue. Tape must have a white matted adhesive side.
